Recipients are the people who will receive your video messages. This guide covers everything you need to know about adding recipients, managing their information, and ensuring your messages reach the right people at the right time.
Adding a New Recipient
You can add a recipient when creating a new video message, or add them to your contact list ahead of time for quick selection later.
Navigate to Recipients
From your dashboard, click "Recipients" in the navigation menu, then click "Add New Recipient".
Enter Their Information
Add their name, email address, and optionally a phone number. You can also add notes to help you remember who they are.
Save the Recipient
Click "Save" to add them to your recipient list. They're now available to select when scheduling messages.
Required Information
Email Address
An email address is required for every recipient. This is how we deliver your video messages. Make sure to double-check the spelling - a typo means your message won't be delivered.
If your recipient is young (like a child) or you're scheduling messages far in the future, use an email address you control initially. You can update it later when they have their own email.
Name
The recipient's name appears in the email notification they receive and helps personalize the delivery. Use the name you call them in real life - it makes the experience more personal.
Phone Number (Optional)
Adding a phone number enables SMS notifications as an additional delivery method. This is optional but recommended for important messages.
Updating Recipient Information
Life changes - people move, change email addresses, get married and change names. You can update recipient information at any time before a message is delivered.
Go to Recipients
Navigate to your Recipients page from the dashboard.
Find the Recipient
Use the search bar or scroll through your list to find the person you need to update.
Edit Their Profile
Click on their name, then click "Edit" to update their information. Save when done.
Updating a recipient's email address will update it for ALL pending messages to that person. Make sure the new email is correct before saving.
Managing Messages for Far-Future Delivery
If you're scheduling messages years or decades in advance, email addresses may change. Here's how to handle this:
For Children or Young Recipients
- Start with a parent's email or an email you control
- Set a reminder to update the email as the child grows up
- Update the email address whenever you learn their new contact info
For Adults
- Use their most stable email (often a personal Gmail/Yahoo rather than work email)
- Add their phone number as a backup
- Check in periodically to make sure contact info is current
We'll notify you if a message delivery fails due to an invalid email address. You'll have a chance to update the recipient's information and resend.
Organizing Your Recipients
Using Notes
Add notes to recipient profiles to help you remember important details:
- Their relationship to you ("My daughter", "College roommate")
- Important dates (birthday, anniversary)
- Alternate contact info or who to contact if this email fails
Deleting Recipients
You can remove recipients from your list at any time. However, this will NOT cancel any pending messages to them - you'll need to cancel those separately.
Privacy and Security
We take your recipients' privacy seriously:
- Recipient information is encrypted and stored securely
- We never share recipient data with third parties
- Recipients only see messages you've sent them - not your entire account
- You can delete recipient data at any time
